Start Working

For documents that need editing, a draft work is started on the file. The process of starting work can only be performed by users with edit permissions.

Creating a Draft

  • In the document viewing screen, click the Start Work button. This option is only visible to users with edit permissions.
  • When work is started, a draft version of the document is created. The draft version number is determined by adding 1 to the current major version number.
  • The following restrictions can be applied parametrically when creating a draft version:
    • The View.SelfBranchs parameter ensures that users can only see their own draft work.
      • When this parameter is active, users cannot view drafts started by other users.
    • The AllowMultipleCreateBranch parameter allows multiple draft versions to be created simultaneously.
      • When this parameter is active, users cannot start a new draft version if an unpublished draft work exists.

Editing a Draft

  • Changes made in the draft version may vary depending on the file type and the file viewer editor.
    • File types that can be edited directly in the viewer (e.g., text files) can be modified directly through the viewer.
    • If MS Office files are used, changes can also be made through the Office Online Viewer if it's used.
    • For MS Office files, the option Open on Desktop is available if users wish to make changes from their computer.
    • For other file types, click the Browse button in the draft version to add new files and update content.

Saving Changes

  • Changes made in the draft version are saved by clicking the Save button.
  • When the save button is clicked, a dialog box will open for the change message entry.

Deleting a Draft

  • The draft work can be canceled by clicking the Delete button.

Publishing the Draft

  • Once changes made to the draft version are complete, the Publish button on the screen initiates the publishing process.
  • When the button is clicked, a modal dialog opens.
  • This screen includes notes for the changes made in the draft version and version selection.
    • Major and minor version selection determines which version number the draft will be published under.
    • Until the draft is published, the published version of the document is displayed in document management.
